Choosing the right service

Why choose China Sourcing Pro instead of a sourcing platform?

Which service do I need if I already have a supplier?

You do not need to restart the sourcing process. Your supplier can remain in place while CSP supports the parts you need: purchasing in RMB, supplier communication, receiving checks, pre-shipment inspection, consolidation, relabeling, packaging, export documents, international shipping, or China-side fulfillment.

Your first message should include the supplier location, product, quantity, current order stage and destination.

What types of buyers and products do you support?

We support ecommerce and DTC brands, Amazon sellers, wholesalers, importers, product developers, and businesses that already have Chinese suppliers. We can work with many consumer, home, lighting, lifestyle, packaging and commercial products, subject to supplier capability and destination-market requirements.

Regulated, hazardous, sensitive or high-liability products require a compliance and shipping review before acceptance. We do not assume that every product can be sourced, exported or legally sold. For personal purchases and selected second-hand items, see our separate Xianyu sourcing service.

Sourcing process & quote inputs

How does your China sourcing process work?

The normal workflow has six stages: requirement review, supplier matching, quotation comparison, sample validation, production follow-up and quality inspection, followed by shipping or fulfillment. We agree on the scope and approval points before placing an order so you know what requires your confirmation.

What should I send to receive an accurate quotation?

Send as much of the following as you already know:

  • Product link, photo, drawing or specification
  • Trial quantity and expected repeat volume
  • Target market and required certification
  • Logo, packaging, labeling or bundling needs
  • Destination country, postal code and target date

If details are missing, we will identify them before treating the quote as final.

How long do sourcing, sampling and production take?

Supplier matching and an initial quotation usually take 1–3 business days after the brief is clear. Samples commonly take 5–10 days. Production depends on product complexity, customization, quantity and factory capacity.

These stages are separate from international transit time. Your quotation should show sourcing, sampling, production and shipping as different milestones.

Can you source products that need CE, FCC, RoHS, REACH or FDA-related compliance?

We can make required certifications and test reports part of the supplier brief and document review, but a supplier's existing certificate is not automatic proof that your exact product, model and destination-market use are covered. Where needed, we can coordinate samples with a qualified laboratory or specialist.

You remain responsible for confirming the legal requirements of the destination market. Tell us the country, sales channel, product category, materials, power or battery details, and any certification named by your marketplace or importer before quotation.

Fees, MOQ & cost clarity

How do you charge for sourcing services?

We use either a fixed project fee or a commission model. For an agreed full-service order, a commission such as 5% may apply. The final rate depends on order value, product complexity, supplier count, customization and the work included.

The final rate, included work and chargeable extras are confirmed in the proposal before purchasing.

Does 1-piece fulfillment mean 1-piece private-label MOQ?

No—these are different. An in-stock product may be purchased or fulfilled one order at a time after the merchant and route are verified. Custom manufacturing, molded parts, printed packaging and private-label production still follow the supplier's MOQ.

Simple stickers, inserts, relabeling or stock mailers often have lower minimums than fully custom packaging.

What costs should a complete quote separate?

A useful quote separates product cost, domestic China delivery, sourcing or service fee, samples, QC, packaging, warehousing or pick-and-pack work, international freight, and any tax or customs assumptions. The exact structure changes by project, but the customer should be able to see what creates the landed cost.

Supplier checks, QC & branding

How do you decide the right quality-control scope?

QC should be risk-based. We consider product type, safety and compliance risk, order value, supplier history, defect sensitivity, packaging and the customer's approved sample. The quotation should state whether the scope is receiving checks, a pre-shipment sample inspection, 100% checking, factory audit, or an independent third-party inspection.

What happens if products fail inspection?

Goods should be held before dispatch while the issue is documented with photos, quantities and defect details. We then review the result with you and the supplier. Depending on the contract and problem, the next step may be sorting, rework, replacement, a second inspection, a price adjustment or rejection before the balance is released.

Can I request SGS, BV or QIMA instead of CSP inspection?

Yes. We can coordinate with an independent inspection company such as SGS, Bureau Veritas or QIMA at the stage you select. Third-party inspection fees, travel and testing are quoted separately, and the inspection checklist should be approved before the visit.

Can you support private label and custom packaging in small batches?

Yes, where the chosen supplier and packaging process allow it. Low-volume options often include labels, stickers, inserts, stock mailers, repacking and simple bundles. Fully printed boxes, custom materials, tooling or product changes normally require higher MOQs and longer lead times.

Fulfillment, shipping & customs

Can you support low-volume Shopify fulfillment?

Yes. A pilot can start with a Shopify export, shared order sheet or agreed order file rather than an expensive integration. We can receive supplier stock, check quantities, pack by SKU, add labels or inserts, ship orders, and return tracking information.

The setup depends on SKU count, daily orders, stock ownership, packaging steps and destination countries.

What shipping options and transit times are available?

Typical options include express courier, air freight, sea freight and selected DDP routes. As a general reference after dispatch:

  • Express: approximately 5–9 days
  • Air freight: approximately 7–15 days
  • Sea freight: approximately 25–35 days

Actual timing depends on destination, product, weight, volume, season, customs and final-mile service. Sourcing and production time are not included in these transit estimates.

What does DDP shipping include?

DDP options are available when the product, destination, parcel or shipment size and customs route are suitable. The quote should state the included freight, customs-clearance and tax assumptions, plus any excluded product certification, destination charges, remote-area fees or abnormal inspections.

DDP does not remove the seller's responsibility to confirm that the product may legally be sold in the destination market.

Which countries can you ship to, and who acts as the Importer of Record?

Shipping coverage depends on the product, destination, weight, volume and the availability of a compliant route. We can arrange express, air, sea and selected DDP shipments to many markets, but the final route must be confirmed after reviewing the product details and destination postal code.

China Sourcing Pro is not automatically the Importer of Record. The quotation or order confirmation should state whether the importer is you, your local company, an authorized logistics partner or another agreed party. It should also identify the assumptions for customs clearance, duties, VAT or GST, EORI or tax registration, product certification and destination charges.

Before approving a DDP route, ask us to confirm in writing what is included and which import or product-compliance responsibilities remain with your business.

Can you prepare goods for Amazon FBA or a local 3PL?

Yes. We can coordinate labeling, carton preparation, consolidation, packing lists and basic handoff requirements before inventory moves to Amazon FBA, a third-party warehouse or your own location. Send the current receiving requirements because FBA and 3PL rules can change by market, product and warehouse.

Which export and shipping documents can you prepare?

Depending on the order and shipping route, we can prepare or coordinate the proforma invoice, commercial invoice, packing list, shipping invoice, product descriptions and basic handoff documents. Where applicable, we can also coordinate a Certificate of Origin, test reports, MSDS or documents requested by the forwarder.

The required set depends on the product, Incoterm, destination, importer and customs route. Any government, laboratory, chamber or third-party charge is quoted separately.

How do receiving, storage, pick-and-pack and minimum fees work?

Fulfillment pricing is built from the actual work: inbound receiving, quantity or condition checks, storage volume and duration, packaging materials, labels or inserts, pick-and-pack steps, outbound freight and exception handling. A setup fee or monthly minimum may apply when a dedicated workflow, inventory space or reporting is required.

Send SKU count, carton dimensions, expected inbound volume, average monthly orders, destination mix and packing instructions so these charges can be shown before stock arrives.

What happens if an order is lost, damaged or packed incorrectly after dispatch?

Report the issue promptly with the order number, tracking, packaging photos, product photos and quantity affected. We first identify whether the issue occurred during warehouse handling, international transit, customs or final-mile delivery, then submit the available evidence to the responsible supplier or carrier.

Replacement, refund or compensation depends on the agreed service scope, carrier terms, insurance and evidence. Claim deadlines and exclusions should be confirmed for the selected route before dispatch.

Payment, communication & risk

Which payment methods do you accept?

Available methods may include business bank transfer, PayPal or Wise, depending on the invoice, currency and country. The beneficiary, invoice number, payment purpose and payment schedule should appear on the formal PI or invoice before you pay.

How should I verify bank details safely?

Use only the beneficiary details shown on the signed PI or invoice. If any account detail changes, stop and verify the change through a second official channel—such as the company WhatsApp number and official domain email—before sending funds. Never rely on a forwarded message or an unexpected account-change email alone.

How will I receive project updates?

Most projects use email or WhatsApp for decisions and a shared file for quotations, order status, QC evidence or shipping details. Before work starts, agree on the project owner, approval points, update frequency and what counts as an urgent exception.

How do you handle product ideas, supplier information and confidentiality?

Project files and commercial information are used to perform the agreed work and shared only with the suppliers or service providers needed for quotation, sampling, production, inspection or shipping. If you need an NDA or supplier-side confidentiality agreement, request it before sending sensitive drawings, tooling files or unreleased product information.

An NDA helps define confidentiality but does not replace trademark, patent, design registration or destination-market legal advice. Tell us which files are restricted and who may receive them.
